02 / SALES OPERATIONS
Creating tailored proposals
in minutes
The client’s team was spending hours preparing individual proposals. Our brief was to reduce that manual work and give the team more capacity to sell.
Context
Each proposal needed to reflect the customer’s requirements, budget and brand. The client’s team selected suitable products, gathered the details and assembled a presentation with images, descriptions and prices. Much of that preparation was repeated for every new request.
The challenge
Preparing each proposal involved repetitive work, from finding suitable products to assembling the final presentation. Three issues were slowing the process:
- Manual product selection. Finding suitable items meant searching a large catalogue and checking each option against the customer’s requirements.
- Time-consuming presentation work. The team added product details and images by hand, then adjusted the presentation for each request.
- Disconnected customer history. Earlier proposals and customer records held useful information, but were not part of the preparation process.
The objective
Make proposal preparation faster and repeatable while preserving the relevance and quality of each presentation.
Proposed solution
A short brief would start a cloud workflow, bringing together the customer’s requirements, budget and brand preferences. The workflow would search the product catalogue and use earlier proposals to help shortlist relevant options.
- 01Capture the briefRequirements, budget
and brand preferences - 02Find suitable productsCatalogue matches,
informed by past proposals - 03Build the presentationProduct details placed
in a branded template - 04 HUMAN REVIEWReview & sendThe salesperson checks
and approves the proposal
Product images, descriptions and prices would populate a branded presentation template. AI could help tailor the wording, while product facts would come from the catalogue. Missing details or uncertain matches would be flagged for review.
Proposed architecture · Works with the team’s existing tools
The salesperson would refine the shortlist, check the presentation and send the approved proposal. A copy would be saved against the customer record, making the next request easier to prepare.
